Program & Office Assistant
FAME is seeking a motivated, detailed-oriented program and office assistant who is passionate about supporting a non-profit organization that promotes music and academic education for middle and high school youth.
POSITION OVERVIEW
The Program & Office Assistant will provide administrative and programmatic support to FAME’s CEO and program managers. This position will have oversight over the administrative functions of the office and include tasks such as organizing and improving office operations and procedures and providing administrative and logistical support.
Schedule
- 24-32 hours per week
- Monday to Thursday
- Off on Friday
- Some weekend availability
Salary & Benefits
$25 to $32/hr
Paid time off (increases with tenure), paid holidays and sick leave days, and professional development assistance.
Attendance at occasional events (auditions, fundraisers & parent meetings). Our office hours are in- person, and we are conducting our music programming and academic tutoring in person and via Zoom. Employees are requested to provide proof of vaccination.
RESPONSIBILITIES
Program Support
- Maintains a comprehensive database of training and technical assistance activities, delivery methodologies, outcomes, and outputs.
- Coordinates and provides logistical support for academic tutoring and music
instruction and technical assistance activities including web-based trainings,
webinars, and other meetings. - Updates project management measures and generates progress reports.
- Drafts and sends correspondence, such as e-blasts, calls for applications, or event invitations, in coordination with staff.
- Compiles program data and activity summaries.
- Drafts agreements and coordinates invoices and payment.
- Prepares various reports, memos, event registration materials, and other documents.
- Supports content development and maintenance of program webpages.
Administrative Support
- Maintains calendar of meetings, events, key deliverables, and deadlines.
- Assists with budget oversight including tracking monthly expense summary reports.
- Coordinate events and activities (workshops, fundraisers, auditions etc.) with the event and program managers.
- Works with our Academic Partner to schedule diagnostic tests, one on one tutoring sessions, workshops and clinics, and meetings with families.
- Provides superior front office and administrative support to guests, staff, and clients.
- Works with program manager to develop the quarterly newsletter.
- Coordinates facilities maintenance of office space and equipment including
cleaning, maintenance, repairs, and security. - Supports the operations of FAME Satellite offices by providing administrative and logistical support to staff and program managers, maintaining office systems and resources, and improving office efficiency, procedures, and processes.
REQUIRED QUALIFICATIONS
- Bachelor’s or associate degree or equivalent combination of education/training and experience required. Three years of related work experience required.
- Experience using Microsoft Office Suite applications (Excel, Word, Outlook,
and PowerPoint). - Experience coordinating meetings, events web-based training and/or webinars.
- Excellent written and oral communication skills, problem-solving skills, and
demonstrated initiative and creativity. - Strong interpersonal skills and the ability to collaborate with a dynamic and diverse team.
- Strong time management and prioritization skills.
- Strong integrity with the ability to exercise good judgment and properly
manage confidential information and materials - Proven self-starter with a high degree of organizational skills and ability to
multi-task - Background clearance
DESIRABLE QUALIFICATIONS
- Knowledge of the nonprofit sector.
- Passion for FAME’s mission and the education of youth.
- An appreciation for the Arts, especially music.
